Terms & Conditions
A non-refundable deposit of £150 per vehicle of the booking fee is required to secure the booking (car cars & date). The balance for the booking is due 30 days before the event date. A booking will be considered to be confirmed with Sussex Vintage Transfers Ltd once both the deposit has been paid and booking form has been signed and received. The signed booking form is required at the time of any deposit being paid. When we have received your deposit, we will send confirmation of the booking including a statement of account and summary of the details agreed. Please check these carefully. Our chauffeur will choose the route based on local knowledge, maps, and/or satellite navigation. The chauffeur will use their judgement to travel at a sensible speed in relation to the weather and road conditions also taking into account any road closures or hold ups on route. However our chauffeur is at your disposal and is happy to follow your instructions where feasibly possible, if you have a favourite route or wish to stop to take photographs on the way.
1. Road Closures and Weather.
Although we always build in a large safety margin in travelling time and aim to arrive well before the appointed time, no responsibility can be taken for route closures or for restrictions relating to vehicle access to any location, hold ups on route or adverse weather conditions. We cannot be held responsible for late arrival or cancellation due to circumstances beyond our control (for example, traffic congestion, mechanical breakdown, etc.) or for any subsequent consequential losses. In the event of extreme weather conditions such as ice or snow, we will make the decision as to whether it is safe for the car to fulfil the contract. We recommend that you consider taking out wedding insurance. Extreme weather. In the event of adverse weather conditions on the day of the event, either current or forecasted, – although cancellation is very rare and would only be considered in extreme conditions, passenger safety being paramount, The Company reserves the right to change the contracted vehicle or cancel the contract, in line with clause 2.a. This is done in the interests of safeguarding both passengers and the car. Adverse weather conditions may include but not limited to snow, ice & floods.
2. Provision of Vehicle.
All our cars will be immaculately presented; our chauffeurs will wear standard dress. The cars will be decorated appropriately for your wedding/ceremony. Special requests can be considered, an additional cost may be incurred. The cars are kept in good condition and serviced regularly to try to avoid any mechanical problems. However, they are classic and vintage vehicles, and for peace of mind you might like to consider nominating a reliable friend, neighbour or guest attending your wedding to be your back-up car in the event of an unforeseen last minute problem, to be prepared to collect the Bride at short notice. They will need to be contactable by mobile phone and have it switched on until they know the Bride has arrived safely at the church. This is not something that has ever happened to date but it is a sensible precaution and will help to take the stress out of the situation if it does occur. Should the car break down and be unable to provide the service which you require then compensation will be limited to the hire charge less the original deposit paid for the vehicle/vehicles depending on the level of failure and service carried out. The total compensation will be up to, but no more than, the total contracted cost of the wedding vehicle hire. Your chauffeur will carry a mobile phone for the purpose of emergency arrangements (subject to signal reception).
2.a.Whilst every effort is made to provide the car booked with Sussex Vintage Transfers Ltd. We reserves the right to substitute vehicles of a similar type in the event of mechanical failure or other circumstances beyond our control. Cars of a lesser hire charge will entitle the Hirer to a refund of the difference. Where a car of a higher hire charge is substituted there will no extra charge to the Hirer.
3. Delay to Arrival at Collection Address
In the event a vehicle is en-route to a collection address and encounters a problem which could result in a delay to the scheduled arrival at the collection address the driver will immediately contact the client to inform them of the approximate arrival time (mobile signal permitting and mobile driving laws obeyed).
4. Vehicle Departure at End of Hire
The end of hire occurs when the vehicle and its occupants have arrived safely at the final destination address with no further trips planned and any photography completed with the vehicle and the vehicle has reached the hire end time shown on the itinerary. The vehicle/s duty will then be considered completed and therefore it will be free to depart back to base. However, if the end of hire time is not yet reached and if no further requirement is required of the vehicle and therefore it is feasible it could depart earlier the Driver will not leave the final address prior to its end of hire time shown on the itinerary unless permission is given by either the Hirer, Bride/Groom/Best Man or Bride’s parent/s.
5. Changes to Itinerary
Changes to the itinerary such as Changes to timings, Addresses, Additional Trips or a Photo Stop-Off meaning an extension to the hire may be required must be made in both writing & email from the address we have on file. For the client’s own protection, changes cannot be accepted over the phone and/or other Messaging Services such as Facebook Messenger, WhatsApp, Skype, etc… An updated Itinerary will be sent to confirm acceptance of the changes. Clients must not automatically assume their changes have been received as emails and letters can go astray so the client must always assume their changes have not been received until they receive an updated itinerary showing the requested changes. Any additional hire cost following changes to the itinerary will be communicated to client prior to updating the itinerary.
6. Change of Wedding Date
Changing a wedding date after a booking has been confirmed is deemed as a cancellation unless the company agrees to postponing the date and the originally booked vehicle is available on the new date, We will do all we can to accommodate any available new date but can’t guarantee.
7. Booking Changes.
Minor changes to a bookings i.e times, ribbon colour, drink requirements will incur no extra charges. Greater changes to a booking i.e dates, venues, pick-up points will need to be recalculated and charged as extra where deemed necessary.
8. Luggage.
The cars do not carry large luggage as space is limited. We would suggest that if the party has luggage, that it would be more secure to be carried by an alternative accompanying vehicle/guest.
9. Smoking Food & Drink
We operate a “NO SMOKING or VAPING” and “NO FOOD OR DRINK” Policy in or around our cars for the comfort of all and to keep our cars clean for all. (Except that provided by Sussex Vintage Transfers)
10. Insurance.
We are insured to carry out Weddings. The insurance is only valid if the registered carrying capacity is not exceeded. The chauffeur will rigidly adhere to this law.
11. Cancellations.
Cancellation to a confirmed booking needs to be received in both writing & Email (not telephone) details below. The original deposit is non-refundable. If the cancellation notice is received by us less than 30 days of the due wedding date then the full balance will be Due for payment. Postponements are deemed as cancellations and treated in the same manner. Clients must not automatically assume their cancellation has been received as emails and letters can go astray so the client must always assume their cancellation has not been received until they themselves receive written & Emailed confirmation of the cancellation as this is their only proof of cancellation. The amount of such a cancellation fee will be dependent on the date on which you end the contract and on whether Sussex Vintage transfers Ltd will be able to rebook the car. If the car cannot be rebooked and cancellation is communicated more than 10 weeks before the wedding you must pay 50% of the total booking price and will be required to pay the difference between your deposit and this charge. If you cancel within 10 or less weeks all of the remaining balance is due. If the car can be rebooked, Sussex Vintage Transfers Ltd will only keep the original non-refundable deposit money you have paid and no more money will be owed. Please note that by paying a deposit and signing a booking form you are entering into a contract with Sussex Vintage transfers Ltd and any monies outstanding within the above time frames will be due if you cancel this contract. Should the rare occurrence of the cancellation be made by us though no fault of the hirer then the full amount paid by the hirer will be returned, any further claims for compensation will not be accepted.
12. How to end this contract.
Tell us you want to end or cancel the contract. To end the contract with the Sussex Vintage transfers Ltd, please let us know in writing, by letter and email. By post, to Sussex Vintage Transfers Ltd, Appletree Cottage, Toddington, Lane, Littlehampton, West Sussex, BN17 6JX. Email Details info@sussexvintagetransfers.co.uk Please provide your name, home address, details of the booking and, where available, your phone number and email address.
12.a Sussex Vintage Transfers Ltd (The Company) right to end the Contract
1. We the Company may end the contract if you break it.
The Company may end the contract for a service at any time by writing or emailing to you if: You do not make any payment when it is due and you still do not make payment within 7 days of us reminding you that payment is due; or You do not, within a reasonable time of us asking for it, provide us with information that is necessary for the Company to provide the services, for example, changes to the itinerary, addresses for pick-up and drop-off. 2. If we The Company have to cancel the contract due to extreme adverse weather condition and no alternative vehicle/vehicles can be found/supplied to replace the hired vehicle/vehicles, Then a refund less the non-refundable deposit of £150 per vehicle paid will be made to the Hirer. Of the cost of the booking fee paid and no more and any further claims for compensation will not be accepted.
12.b You must compensate the The Company if you break the contract. If the Company ends the contract in the situations set out in Clause 6, 9, 12.a(1) & 13. The Company will keep any money you have paid in advance as a deposit and will charge you a cancellation fee as compensation for the costs incurred as a result of your breaking the contract. The cancellation fee will be calculated on the basis set out at Clause 11. above.
13. Termination.
We will have the right to refuse entry into the vehicle to any person who is, or appears to be under the influence of alcohol or illegal substances. Any offensive, abusive or intimidating behaviour directed at the chauffeur and/or the vehicle in their charge by the hirer or any member of the hirers party or guests will result in the withdrawal and termination of hire.
14. Personal Belongings.
Every effort is taken to ensure against damage or loss. It is the hirers responsibility to ensure that all personal items are removed from the vehicle at the end of the hire period. Any item found in the vehicle will be held for 14 days from the date of hire and it will be the responsibility of the hirer to collect such items. Valuables should not be left in the vehicle at any time during the hire period. It is the responsibility of the hirer to ensure that any member of their party or guests clothing is kept clear of any part of the vehicle that could damage or dirty their clothing. We take no responsibility for personal belongings or clothing that may become damaged or lost.
15. Seating. Child Seat Belts, Car Seats & Safety
Due to the ages of the cars, they do not all have seat belts; children under the age of three cannot be carried because of this. Children over the age of three may be carried but must be under the supervision of an appropriate adult. All passengers must be seated whilst the engine is running. Under no circumstances should anyone be carried on another person’s lap. The client must advise on the reservation form if a child using any vehicle will be under 14 years of age on the proposed travel date stating their age at the date of travel. At least one adult member 18yrs + of the wedding party must accompany children when travelling. There is no exemption for children aged under 3 years old. Children aged 3 years and above, until they are EITHER 12 years old OR 135 cm tall : Children MUST use the correct restraint, where seat belts are fitted. Children aged 3 years and above can travel unrestrained in the rear of a vehicle that does not have seat belts (only applies to vehicles that were originally manufactured without seat belts). Wedding Vehicles are NOT considered as Licensed Taxis so Clients/Parents/Guardians must be familiar with the Seat Belt Law. Visit the Child Car Seat Government Website for more information and latest changes. Child seating and safety requirements required by law can be amended and/or changed at any time. The driver has the ultimate responsibility and final say as to whether a child travels in their vehicle if there are any doubts as to the restraint the client has provided. It is down to the Clients/Parents/Guardians to fit any Child seating and or belt and not the Driver.
16. Access.
The hirer should ensure that adequate access, turnaround and exit for the vehicle is available at all addresses to be attended. If any point the chauffeur feels that this is restricted in any way then the chauffeur will stop at the nearest legal safe point available, regardless of distance. The chauffeur has the right to refuse to travel on any surface that he feels may cause damage to the vehicle. If you have an unmade road or uneven road surface then please inform us at the time of booking. The hirer should ensure that a drop off and parking space is reserved outside the church, hotel, or other venues.
17. Phone Contact with Drivers UK
law states hand held mobile phones are illegal to use when driving, even hands free could be distracting, therefore should a client wish to make urgent contact with their driver on the day the client must understand their driver may not be able to answer the phone if driving, but will attempt to respond to messages left after they have stopped and it is safe and legal to do so.
18. Night-time Driving
Wedding Ribbons can cause visibility problems obstructing the view of the road when driving after dark. Therefore, regardless if a client has requested ribbons, the driver alone will make the decision whether to drive their vehicle with ribbons across the windscreen during darkness hours taking into consideration passengers’ safety and the route to be used.
19. Damage to vehicle.
The Hirer is responsible for any accidental or intentional damage caused to the car(s) by themselves and/or their wedding guests. The hirer agrees that if any member of their party causes damage/theft of property, or incites others to cause damage/theft to the vehicle or contents the hirer will be responsible and liable for all repair costs to the vehicle to return it to the condition that it left the garage in. Damage/theft to either the exterior or interior are both the responsibility of the hirer. Total repair cost will include the cost of repair, loss of bookings and any other incurred costs. Spillage of food, drink or illness will incur an additional Minimum charge of £100 to cover the valet costs. fee.
20. Photographs.
Sussex Vintage Transfers Ltd may take photographs at your event to use for promotional purposes both on-line and off line. Any objections must be notified prior to the occasion in writing. They may appear on our social media sites and website and by signing these conditions the Hirer has given Sussex Vintage Transfers Ltd permission to do so, we will own and retain copyright of any image taken but will happily share with anyone seeking a copy.
21. Indemnity & Liability
You agree to indemnify and hold Sussex Vintage Transfers Ltd wedding Car Hire, and its Directors and Employees harmless from and against all liabilities, legal fees, damages, losses, costs and other expenses in relation to any claims or actions brought against Sussex Vintage Transfers Ltd wedding Car Hire arising out of any breach by you of these terms and conditions. Liability Outside of Direct Control – Sussex Vintage Transfers Ltd wedding Car Hire, and its Directors and Employees will not be held liable or responsible for situations caused by circumstances outside of their control resulting in late arrivals at collection addresses, ceremonies or receptions, delays or cancellations to ceremonies or receptions, missed appointments, missed photographic opportunities, missed travel connections, delays by utilising one car on multiple trips to the same destination, clients not departing the collection address at the stated time, traffic congestion, incorrectly advised timings, car breakdowns, punctures or other circumstances beyond their control not listed above.
22. Bookings.
By making and signing a booking form and paying the deposit you accept all Sussex Vintage Transfers Ltd Wedding Car Hire above terms and conditions. We reserve the right to amend our Terms & Conditions at any time. Only the agreed terms at the time of signing are applicable.
